SmartQuantumHR helps your organization manage people, leave, payroll, performance, training, documents and more — in one place.

Getting Started
- Open the app: click Sign In and enter your username and password.
- Home page: you land on your dashboard with quick info and shortcuts.
- Menu: use the left sidebar to open features like Employees, Leave, Payroll, etc.
- Top bar: find notifications, your profile, and logout actions.
Admin (company owner)
- Company Settings: set company name, address, logo, and email (SMTP) for notifications.
- Organization: create departments/branches/positions for your structure.
- Users: create accounts, assign roles (HR Head, HR Officer, Manager, Employee).
- Employees: add staff profiles or bulk-import from Excel/CSV.
Next: share logins with HR and Managers so they can start using the system.
HR Head & HR Officer
- Employees: maintain personal info, positions, grades, and documents.
- Recruitment: post jobs, receive applications, and track candidates.
- Leave: set leave types and allocations; approve requests.
- Training: schedule sessions; enroll employees; confirm completion.
- Appraisals: use templates, collect reviews, and close appraisal cycles.
- Payroll: set allowances/deductions, approve runs, and email payslips.
- Documents: upload policies/handbooks; share to all or specific people.
- Planner: plan events/activities; they show on dashboards and send reminders.
Approvals: HR Head is usually the final approver for leave, training, appraisals, and payroll.
Manager
- Team Overview: see your team’s requests and recent activities.
- Approve Requests: approve leave/training for your direct reports.
- Messages & Announcements: receive updates; communicate with team members.
- Calendar: view company events, holidays, and team plans.
Employee
- Dashboard: quick view of messages, documents, and calendar.
- Request Leave: submit and track leave; see your balance.
- Payslips: view and download your monthly payslips.
- Documents: read policies and files shared with you.
- Messages: send/receive messages with HR and managers.
Communications
- Announcements: company-wide updates with priority and expiry.
- Notifications: reminders for approvals, events, and tasks.
- Messages: direct messages with search and attachments.
Reports & Analytics
- Dashboards: key HR charts (headcount, vacancies, leave usage).
- Reports: filter and export to CSV/Excel.
- Scheduling: set up scheduled reports (if enabled in your plan).
Tips & FAQ
- Forgot password? Contact your Admin to reset your account.
- Can’t see a page? Your role may not include that feature. Ask Admin/HR.
- New staff? HR creates the employee profile; Admin creates the user account.
- Need help? Check the top-right notifications and messages for guidance.
